We understand that record concerns can be stressful, especially when transfer, enrollment, or promotion deadlines are near. Our team will review your case carefully and guide you on the next possible steps based on the records available from previous partner schools, lawful record sources, and the supporting documents you submit.
How the records request process works
Please follow the steps below so your request can be reviewed properly and matched faster by our staff.

The initial non-refundable ₱2,000 review fee starts the records checking and coordination process.

This covers request review, school-history checking, submitted document review, partner-school tracing, initial coordination, and next-step guidance.
This initial fee does not automatically include guaranteed release, guaranteed retrieval, rush handling, repeated multi-school follow-up, courier, or special certifications unless later confirmed.

What the initial fee covers
Review of the request form, checking the student’s school history, reviewing parent-submitted copies, tracing the likely partner school or record source, initial coordination, and guidance on what may still be needed.
When requests may be delayed
Requests may take longer if the previous partner school has incomplete or archived records, if there are missing school years, or if there are very few supporting documents available from the parent.
If the partner school also has no records
Filipino Institute cannot guarantee issuance of the requested document. We will still do our best to assess what is possible based on available records, partner-school feedback, and the copies submitted by the parent or guardian.
Terms, conditions, and important reminders
- Request Review Only: Submission of this form begins a records review and coordination process only. It does not automatically mean that the requested document is already available or approved for release.
- Records Availability: All requested records and documents are subject to availability, verification, and confirmation from the relevant partner school or lawful record source.
- No Guaranteed Release: Filipino Institute does not guarantee the release, retrieval, consolidation, reconstruction, or issuance of any requested document.
- Partner School Dependency: Some records may depend on the cooperation, archives, response time, and available files of previous partner schools or lawful record sources in the Philippines.
- Missing or Incomplete Records: If the relevant partner school or record source has incomplete, missing, or unavailable records, release of the requested document may not be possible.
- Supporting Documents Matter: Parents are strongly encouraged to submit all available report cards, screenshots, school notices, and related records to help support checking and possible consolidation of available records.
- Initial Non-Refundable Fee: The ₱2,000 Initial Records Review & Coordination Fee is non-refundable once request review, records checking, and coordination have started.
- Additional Fees: Additional fees, if any, will only be confirmed after initial review and after the partner school or record source has replied.
- Processing Time: Processing time may vary depending on record availability, response time of partner schools, complexity of the request, and completeness of the parent’s submitted information.
- Status Updates: Status updates are given after initial review has started. Follow-up requests made before review begins may not yet receive a final records assessment.
- Best Effort Assistance: Filipino Institute will do its best to assist in checking, tracing, coordination, and records review based on available information and documents submitted.
